How to find a VA who actually knows e-commerce (2026)

The "hire a VA" lists are mostly affiliate bait. They rank by commission, not by whether the VA actually knows how to process a return in Shopify.

Here is a clear method you can follow in about 5 minutes.

Step 1 — Test Them Before You Hire

Don't rely on a resume. Give them a paid test task. For example: "Here is a dummy Shopify order. Process a refund and add a note to the customer's account."

If they can't do it in 10 minutes, they don't know e-commerce.

Step 2 — Look for Platform Specifics

A good e-commerce VA will list specific platforms in their profile: Shopify, WooCommerce, Magento, Amazon Seller Central. If they only say "data entry" or "admin," they probably don't know the platform.

Step 3 — Check these 3 specs

Before you hire, look for these three things:

  • Shopify/WooCommerce experience: They must know how to use the backend.
  • Customer service experience: They need to know how to handle angry customers politely.
  • Inventory management: They should know how to update stock levels.

If a VA has platform experience, customer service skills, and inventory management experience, they are worth interviewing.

Step 4 — Run the find

Instead of scrolling through 100 profiles, tell the find engine exactly what you need. Use this query:

❯ hire VA with Shopify experience, customer service, inventory management

Rallynex will:

  • Search live listings across freelancer marketplaces.
  • Filter out the ones without platform experience.
  • Cross-check their skills against your requirements.
  • Show you the ones that actually deliver — with the source, the price, and the specs.

The short version

  1. Give them a paid test task in Shopify.
  2. Look for specific platform experience.
  3. Must know customer service and inventory management.
  4. If they only say "admin," skip them.

That is the whole method. Everything else is marketing.
